Accounting and Administrative Assistant / Officer

SCOPE OF WORK AND DUTIES
The Employee shall perform any and all support work necessary for the department of Accounting and Administration to the Company, including, without limitation, the following:

 

Accounting:

  • Perform daily accounting operations and prepare vouchers and expense claims.
  • Accounting data entry, bookkeeping, and invoicing.
  • Assist in month-end closing and financial reporting.

Administration:

  • Arrange business travel requirements for senior managers including booking flights and hotels.
  • Assist the sales team to input customer data into the company CRM system.
  • Assist the sales team in the printing of brochures, and reports and managing mailouts.
  • Where possible, assist with marketing & promotional activities.
  • Support office administration and facilities arrangements (e.g. liaison with IT and other services providers);
  • Aid in the preparation of paperwork and other office documents.
  • Compile, manage and execute company billings and receipts.
  • Manage office supplies and office equipment procurement and printing and stationery.
  • Reception cover (including meeting office visitors, responsible for general office line, handling mail, etc.).
  • May be required to work off-site occasionally.
  • Assist in the creation of, and then maintain, all company policy documents and forms, including but not limited to: HR policy, expense policy, expense forms, and others.
  • Oversee adherence to company policies and procedures.
  • Assist company management with recruitment activities including job-posting, screening candidates, and interview arrangements.
  • Assist and support employee onboarding and offboarding procedures.
  • Perform employee record management such as Staff Profile, Leave management and attendance record, background checks, training, etc.
  • Assist to maintain personnel databases and filing records to government departments.
  • Liaise with suppliers regarding company insurance, employees compensation insurance, medical insurance, services contracts/agreements, etc;
  • Perform any ad-hoc tasks for any company Executive, HR, Admin, and accounting duties as assigned.
  • Plan in-house or off-site activities including conferences, parties, and events.
  • Ensure office filing system is maintained.
  • Maintain a safe, secure, and pleasant work environment.

REQUIREMENTS

  • Diploma in Accounting or LCC Intermediate qualifications.
  • Minimum 2 years of experience.
  • Knowledge of Peachtree and project/job costing is an advantage.
  • Proficiency in MS office.
  • Proficient in spoken and written English & Chinese.
  • Proactive, responsible, good manner, and able to work under pressure.
  • Attention to detail and problem-solving skills.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Immediately available is preferred.

Reporting to the Commercial Operations Manager, you will be responsible for coordinating and conducting research initiatives and will play a key role in the development of internal tools, procedures and delivery of industry market intelligence, consulting and publication products. Requirements

  • 2 – 5 years of relevant experience gained from consulting firm, investment bank, research house, industry publication or an internal corporate strategy role. An appropriate candidate with less or unrelevant experience will be considered as Junior Analyst.
